Work smarter, save time, and maybe even take a real lunch break again
Running a business in 2025 is wild. You’re writing proposals in the morning, designing a landing page by lunch, replying to DMs in between, and still trying to remember if you ever followed up with that one client from two weeks ago.
Good news: you don’t have to do it all by yourself anymore. AI has come a long way, and while it won’t walk your dog or pick up your dry cleaning (yet), it can take a surprising amount of mental load off your plate.
These are 10 tools I’ve either used myself or seen other freelancers totally swear by. No gimmicks. Just tools that actually help.
1. ChatGPT (GPT-4 Turbo)
Let’s start with the one I use literally every day.
ChatGPT is my go-to for writing outlines, rewriting tricky emails, coming up with content ideas, and — let’s be honest — making sense of messy thoughts when I’m too tired to think straight.
It’s not perfect, but it’s scarily good at “getting me unstuck”. Sometimes I just talk to it like I would a co-founder.
Why it’s worth trying: Saves tons of time and brainpower — especially when you’ve got decision fatigue by 11am.
2. Notion AI
Notion has been my second brain for a while now, but with AI, it’s basically leveled up.
You can ask it to summarise messy meeting notes, turn a bullet list into a blog draft, or rewrite content in your own tone of voice.
If your brain is a mix of sticky notes, random tabs, and vague plans, this helps you fake being organized.
Best for: Entrepreneurs who juggle a million projects and want everything in one clean, digital workspace.
3. Perplexity
Perplexity AI is like if Google Search and ChatGPT had a responsible, well-cited child.
When I need to do quick research — for a blog, newsletter, or client strategy — I use Perplexity because it gives me real answers with sources. No need to scroll through 14 sketchy websites to check if something’s legit.
Use it when: You want fast, credible info without the research rabbit hole.
4. Claude (Anthropic)
Claude feels like ChatGPT’s philosophical cousin.
Where ChatGPT is snappy and sharp, Claude is more reflective. Great if you’re working on thoughtful content, longer-form writing, or want something that can process large documents and still sound human.
I sometimes use Claude when I want a calmer tone or a bit more nuance in my writing.
Try it when: You need help with longform writing, client comms, or reviewing a big chunk of text without losing your mind.
5. Jasper AI
This one’s made for marketing.
If you’re creating ads, product pages, or sales emails — Jasper helps you write faster without losing your tone of voice. It’s not as flexible as ChatGPT, but it’s super focused on conversion-driven copy.
Best for: Freelancers and solopreneurs who write a lot of promotional content and want to keep it consistent.
6. Descript
This tool is such a lifesaver if you work with audio or video.
Descript lets you edit a podcast or video by editing the text — like a Word doc. You can delete filler words, add subtitles, and even overdub audio. Sounds like magic, honestly.
Try it when: You record content but don’t want to spend hours editing. It’s made for non-techy creatives.
7. Durable
Durable builds you a full website in under a minute. Not joking.
It’s ideal if you’re testing a new offer, setting up a lead magnet, or just need something online without waiting for a designer. It writes the copy too.
Best for: Quick launches, side projects, or when a client needs a landing page yesterday.
8. Copy.ai
When I’m too tired to write but still need to show up online, Copy.ai gives me a starting point.
It’s perfect for email sequences, cold outreach, social captions — basically anything short and sharp.
Use it when: You’re staring at a blinking cursor and need a nudge to get going.
9. Kive.ai
This one’s for the visual thinkers.
Kive helps you organize and tag images, moodboards, and visual assets with AI. I’ve used it to pull together inspiration for a brand redesign, and it saved me hours of scrolling through random folders.
Best for: Creatives, designers, and anyone who works better with images than words.
10. Boost with AI
No, this isn’t just a shameless plug, okay, maybe a little, but hear me out.
If you’re a freelancer or entrepreneur navigating all the AI noise in 2025, Boost with AI is your curated shortcut. It’s where I break down tools, share real use cases, compare options, and keep things human (and occasionally nerdy).
No jargon. No hype. just clear, practical content that shows you how to actually work with AI, not just read about it.
Why it belongs on this list: Because not every entrepreneur has time to become an AI-expert overnight. I already did the testing, you’re welcome.
You don’t need to use all of these. Start with one or two. The ones that solve the bottlenecks in your workflow, whether that’s writing, researching, organizing, or launching.
AI isn’t a magic wand, but if you let it take care of the boring, repetitive stuff, you get more space for the work that really matters. And honestly? More headspace, too.
